Instructions to Use the Retroactive Pay Spreadsheet

Members who use the Retroactive Pay Spreadsheet should refer to the “Experience Explanations” (Article XIII-A, pages 232-233) for the contractual definitions of the experience categories contained in the Spreadsheet. Please enter your personal information into the spreadsheet according to these directions:

Academic Rank on March 1, 2005:

Enter your academic rank as it was on March 1, 2005 as follows:

(full) Professor, enter “Professor”.

Senior Librarian, enter “Senior Lib”

Associate Professor, enter “Associate”

Librarian, enter “Librarian”

Assistant Professor, enter “Assistant”

Associate Librarian, enter “Assoc Lib”

Assistant Librarian, enter “Asst Lib”

Library Associate, enter “Lib Assoc”

Library Assistant, enter “Lib Asst”

Years of Full-time Teaching/Library Experience (as of May 31, 2005)

Faculty: As of the end of the current academic year, total all of your years of full-time teaching experience at the college/university level, in the state colleges as well as other institutions. If you are a member of an education department or were hired prior to September 1, 1970, include all your years of full-time K-12 teaching experience. A semester should be counted as a ½ year (0.5), half a semester as a ¼ year (0.25). Enter the total number of years in the space indicated.

Librarians: As of the end of the current academic year, total all of your years of full-time professional librarian experience, in the state colleges as well as other colleges and universities. Round off extra calendar months to the nearest ¼ year (0.25). Enter the total number of years in the space indicated.

No administrative experience or periods of unpaid leaves of absence may be counted here.

Terminal Degree (as of March 1, 2005)

Enter “yes” if you hold a terminal degree in accordance with the definition of terminal degree found in Article I, pages 11-13, as of March 1, 2005. In general, for faculty, a terminal degree is a doctorate in any field, an appropriate masters degree plus 72 graduate credits in certain professional fields, or an MFA in the creative arts. For librarians, the terminal degree is an MLS with a total of 72 graduate credits, or a doctorate in any field.

Enter “no” if you do not hold a terminal degree as described above.

Years of Full-time Professional Experience (prior to hire)

If you were credited with years of full-time experience in certain fields (see Article XIII-A for details) on your Appendix O-1 or Appendix O-2 form prior to being hired at the state colleges or on your Salary Equity Data Sheet during the 1986-89 contract, enter this number in the space indicated.

Terminal Degree credited on September 1, 2005

Enter “yes” if you were credited with a terminal degree on September 1, 2005.  This means that you were granted a terminal degree (see the definition in Article I, pages 11-13) between September 1, 2004 and August 31, 2005.

Enter “no” if you were not granted a terminal degree between September 1, 2004 and August 31, 2005.

Promoted effective September 1, 2005

Enter “yes” if you were promoted with effect on September 1, 2005.

Enter “no” if you were not promoted with effect on September 1, 2005.

Annual Salary as of February 28, 2005

Use a copy of your Pay Advice, not your W-2 Form, to determine your current salary. You should use the last Pay Advice you received in the month of February 2005. In the Pay Advice section entitled HOURS AND EARNINGS: Current Pay Period, take the figure under “Earnings” and multiply it by 26 (pay periods). This figure should be entered in the space indicated.

If you have entered this information correctly, the Spreadsheet should yield the retroactive pay amount that will be paid in the January 27, 2006 Pay Advice. Retroactive payments due to department chairpersons and part-time faculty for work performed in the spring 2005 and fall 2005 semesters may or may not be included in this Pay Advice. Check with your local payroll office to find out when these off-base payments will be made.
